Data User Access Restrictions can be implemented using two primary methods: Data Access Sets and Security Rules.

Data Access Sets are primarily employed to secure data.

They allow for the limitation of a user’s access to specific data.

By manually creating a Data Access Set, you can grant users either read-only or read-and-write access to particular data.

Users can gain full or partial data access by utilizing Balancing Segment value security within the ledger.

Non-Balancing Segment Value Security within the ledger enforces function-based access restrictions for specific users.

To configure Data Access Sets, follow these steps:

Step 1: Access Setup and Maintenance from the profile icon.

Step 2: Search for “Data Access Set.”

Step 3: Choose “Manage Data Access Sets.”

Step 4: Select an existing data access set or create a customized one by clicking the ADD icon.

Step 5: Provide the required details.

Step 6: Specify whether you want the user to have access to all values or a specific value for a particular dataset.

Step 7: Choose the desired privilege for the user (Read-Only or Read and Write).

Step 8: Click “Save.”

For managing Data Access Set Data Access for Users:

Step 1: Click “Manage Data Access Set Data Access for Users.”

Step 2: Click the ADD icon.

Step 3: Choose the user’s name and the role you wish to assign.

Step 4: Select “Data Access Set” in the security context.

Step 5: Click “Save.”

To modify Data Access Sets assigned to a user:

  • Log in to the user account and navigate to the journals.
  • The various Data Access Sets assigned to that user can be edited.

When defining Segment Value Security, follow these steps:

Step 1: Open Setup and Maintenance from the profile icon.

Step 2: Search for “Chart of Accounts.”

Step 3: Choose “Manage Chart of Accounts Value Sets.”

Step 4: Search for the desired Value Set Code.

Step 5: After selecting the Value Set Code, click on “Edit.”

Step 6: Enable “Security” by clicking “Security Enabled.”

Step 7: Enter the Data Security Resource name and save.

Step 8: Click “Edit” for the data security.

Step 9: Click the ADD icon and provide the required details.

Step 10: Choose the “Condition Icon” and enter the necessary fields. The Condition Icon is used to select the users for data access restrictions.

Step 11: For Condition Type, choose “Filter.”

Step 12: For Match, you can choose “All” (both the first and second values) or “Any” (either the first or second value).

Step 13: Click “Save.”

Step 14: Proceed to the “Policy Icon.”

Step 15: Click the ADD icon, fill in General Information, and add the role.

Step 16: Select the desired rule.

Step 17: Click “Save” and then “Submit.”

Step 18: Choose “Manage Chart of Accounts Structures.”

Step 19: Select the module and search.

Step 20: Click on the chosen module and deploy the flexfield.

Step 21: Once deployment reaches 100%, click “OK.”
